Operational Fit Review

Find the Systems Costing You Time and Revenue

We map your customer lifecycle, tech stack, data flows, repetitive work, and revenue handoffs — then identify where better systems can create the most leverage.

Tell Us Where the Friction Is.

We are not looking for the one broken app. We are looking for where the system stops fitting the work: handoffs, ownership, duplicated data, manual coordination, and missing visibility. Give us enough context to see it. We’ll use this to prepare the conversation, not to add you to a marketing list.

System Fit Session

Diagnose starts at a $3,500 floor. The fee varies with the number of platforms, tools and users, and the specific needs of your organization discovered during the Operational Fit Review. We confirm the scope and quote before you commit. Diagnose is a separate paid engagement.

What Happens Next

  1. A reply within one business day. From Joshua, not an autoresponder sequence.
  2. A 30-minute Operational Fit Review. One real workflow, traced end to end. Enough to confirm the pattern, whether Diagnose is the right first step, and its fixed fee.
  3. Diagnose, one to four weeks by tier. We map the lifecycle, the stack, the handoffs, and the manual work, with the people who do it.
  4. A 90-minute readout. We walk through the findings, the baseline, and the roadmap: what to fix first, what to leave alone, and what the delay is costing.

Diagnose: Scope and Fee

Two Ways to Start, Both Fixed Fee

Pick the size of the first look. We confirm the tier on your Operational Fit Review, before you commit. The fee is credited in full toward Build if you go ahead.

Core Diagnostic

One workflow, end to end. For example: inquiry to booked job, or lead to signed engagement letter.

$3,500 fixed fee
  • Scope: 1–2 core platforms
  • Maps: System Fit Map and Handoff Map for that workflow
  • Leak estimate: in dollars, with the method shown
  • Roadmap: what to fix first, plus quick wins
  • Readout: we walk you through the findings

What We Aim For: Software Savings That Cover the Fee

Companies pay for software nobody uses. Zylo reports that the average organization uses 54% of its paid SaaS licenses. Every Diagnose includes a Stack & Spend review of the tools and seats in scope. Our aim is that the cleanup alone covers the Diagnose fee. We have no engagements to show yet, so we state it as an aim, not a promise.

FAQ

Questions We Hear

What Is the Growth Systems Assessment?

It is the Diagnose stage of a Conjai engagement. Conjai maps your customer lifecycle, tech stack, data flows, repetitive work, and revenue handoffs, then identifies where better systems create the most leverage.

How Long Does the Assessment Take?

About one to two weeks for the Core Diagnostic and about two to four weeks for the Multi-System Engine.

What Does Diagnose Cost?

Diagnose is a fixed fee in two tiers: the Core Diagnostic ($3,500, about one to two weeks) for one critical workflow, and the Multi-System Engine ($5,500, about two to four weeks) for work that crosses departments. Larger estates, with six or more systems, are scoped and quoted after a second call. We confirm the tier on the Operational Fit Review, before you commit, and the fee is credited in full toward Build if you go ahead.

What Do I Get at the End?

A prioritized systems roadmap, not a generic pitch deck: what to fix first, what to leave alone, and the effort and budget range for each. With it come the maps of how work moves today, a measured baseline, an estimate of what each gap costs, a register of your tools and spend, a register of access risks, and quick wins your team can make without us. We walk through all of it in a 90-minute readout.

How Much Time Does Diagnose Need From Our Team?

About 6 to 10 hours in total, most of it in the first week: a one-hour kickoff, read-only access to your tools, 45-minute conversations with the three to six people who do the work, and the 90-minute readout. We work read-only and change nothing in your systems during Diagnose.

What Does Conjai Look For?

Four things: revenue leakage where leads, customers, or jobs are lost at a handoff; administrative drag where skilled people copy and re-enter information; systems fragmentation where owned tools create conflicting records; and which workflows should be automated, improved with AI, or left human.

What Happens If We Stop Improve?

The system keeps running. It is on your accounts and in your name. You stop getting the monitoring, the monthly review and the improvement roadmap.

Whose Name Are the Tools In?

Yours. We help choose and connect them, but the subscriptions, licences, connectors and data belong to you from day one.

Is My Company Too Small for an Assessment?

Size matters less than symptoms. If follow-up depends on memory, systems disagree, or someone copies data between tools every week, the complexity is real and Diagnose is the right first step.
